Position Description
Job Title: POD Coordinator
Reports To: Logistics/ Finance
Job Purpose The POD Coordinator is responsible for managing, tracking, and verifying Proof of Delivery (POD) documents and obtaining delivery confirmations from buyers/customers to ensure accurate and timely validation of all deliveries.

 

Responsibilities · Ensure all delivery PODs are received from drivers, transporters, or partners.

· Verify POD documents for accuracy (date, signature, stamp, quantity delivered).

· Obtain delivery confirmations from buyers/customers via signed PODs, email, or system confirmation or through WhatsApp groups.

· Follow up with buyers for pending confirmations.

· Maintain proper records of customer confirmations for each delivery.

· Coordinate with sales/customers to resolve any delivery disputes or rejections.

· Update POD and buyer confirmation status in systems Excel.

· Maintain organized records (physical and digital) for audit and tracking purposes.

· Follow up with drivers, transporters, and warehouses for pending PODs.

· Liaise with buyers/customers for confirmation delays.

· Coordinate with logistics, warehouse, and finance teams.

· Identify and report mismatches between POD and buyer confirmation.

· Investigate shortages, damages, or rejected deliveries.

· Work with relevant teams to resolve issues promptly.

· Prepare daily/weekly reports on:

· POD status (received, pending, overdue)

· Buyer confirmation status

· Highlight delays, disputes, and operational gaps.

· Ensure POD and buyer confirmation documentation meets company and client requirements.

· Support audits by providing complete delivery confirmation records.

Person Specification
Education, Training, Skills & Experience · Diploma or Bachelor’s degree

· Proficiency in Microsoft Excel (data tracking, reporting, basic formulas)

· Strong documentation and record management skills (physical & digital)

· Data accuracy and validation skills for POD and buyer confirmations

· Ability to generate reports and analyse delivery performance

· Basic knowledge of audit and compliance requirements

· Good communication skills (internal teams and external customers)
