Position: Finance and Asst. Administrative Officer.
Reports to: Administrator
OVERALL JOB PURPOSE
The Finance and Administrative Officer will be responsible for managing financial records,
overseeing administrative processes, and ensuring compliance with relevant financial and
operational standards. This role supports the day-to-day operations of the organization,
ensuring efficiency and effectiveness in both financial and administrative functions.
JOB REQUIREMENTS AND COMPETENCIES
- Diploma in Finance, Accounting, Business Administration, or a related field.
- Two years working experience is desirable
- Effective problem solving and Decision making Skills.
- Excellent verbal and written skills.
- Excellent interpersonal skills with all multi-disciplinary team, patients and relatives.
- Competent knowledge and skills with general nursing care. Cognitive skills as related to the position.
JOB RESPONSIBILITIES
- Maintain accurate and up-to-date financial records, including ledgers, invoices, receipts, and payments.
- Prepare and process financial documents such as payment vouchers, petty cash reports, and expense claims.
- Assist in the preparation of monthly, quarterly, and annual financial reports.
- Monitor budgets and expenditures, ensuring alignment with financial policies.
- Manage payroll processes, including tax and statutory deductions.
- Reconcile bank statements and track financial transactions.
- Ensure compliance with internal financial procedures and relevant regulations.
- Liaise with auditors, vendors, and other stakeholders as needed.
- Assist in the development of budgets and financial forecasts.
- Oversee office management tasks including supplies procurement, maintenance and logistics.
- Maintain physical and digital filing systems for administrative and financial documents.
- Coordinate meetings, workshops, and organizational events.
- Support human resource functions such as maintaining employee records and coordinating recruitment logistics.
- Ensure office equipment and resources are well-maintained and functional.
- Develop and implement administrative systems and processes for operational efficiency.
- Support compliance with legal, regulatory, and internal policies.
- Serve as the first point of contact for all visitors, clients, and vendors.
- Answer and direct phone calls and emails to appropriate staff members.
- Manage the front desk, maintain a clean and welcoming reception area.
- Handle incoming and outgoing mail and packages.
- Schedule appointments and manage meeting room bookings.
- Provide general information to visitors and callers in a courteous and professional manner.
- Any other duties will be assigned from time to time.
