Description

 Independent Regulatory Board (IRB)  is hiring an Administrative Assistant to provide administrative support to ensure the efficient operation of the office.

Supervisor:  Finance and Administration Expert

Contract Length:   One Year renewable subject to satisfactory performance and availability of funds

Duties/Responsibilities

  1. In charge of the front office, which entails answering and directing phone calls, emails, and in-person inquiries.
  2. Receive, sort, and forward incoming mail to the Executive Assistant for subsequent reassignment by the Director General.
  3. Coordinate dispatch of internal correspondences to third parties.
  4. Carry out administrative duties such as filing, typing, photocopying, binding, scanning, and printing documents, among others.
  5. Maintain contact lists.
  6. Manage inventory of stock supplies, ensuring timely orders and issuance of office supplies.
  7. Maintain a record of office inventory.
  8. Organize and schedule appointments and meetings for senior staff.
  9. Arrange travel arrangements for senior staff.
  10. Oversee the work of junior staff such as cleaning activities.
  11. Coordinate repairs to office equipment and office maintenance work.
  12. Opening and closing windows and doors at the end of every working day.
  13. Keep track of vehicle servicing and take daily mileage recordings.
  14. Maintain an accurate record of all motor vehicle logbooks and ensure timely renewal of licenses and insurance.
  15. Switch off electrical appliances in open spaces every day.
  16. Implement relevant internal standard operating procedures and guidelines as prescribed by IRB.
  17. Perform any other duties as may be reasonably assigned by the Supervisor, Senior Staff, or Management.

Academic Qualifications, Soft Skills, and Working Experience

  1. Minimum Ordinary Diploma in Office Management from a recognized Institution. A bachelor’s degree from a recognized university in Business Management and relevant fields is an added advantage.
  2. Should have strong organizational and time-management skills.
  3. Excellent written and verbal communication skills in English.
  4. Proficiency in Microsoft Office.
  5. Ability to handle confidential information.
  6. Should also be able to multitask and prioritize work.
  7. Should be below 30 Years of age.
  8. Must have at least Three (3) Years of relevant working experience in a similar position.
  9. This position is for Ugandan nationals only.
