ITM Africa is hiring a highly organized and detail-oriented Administrative Assistant to support our team at ITM. The ideal candidate will handle day-to-day administrative tasks, manage correspondence, schedule meetings, and ensure smooth office operations. They should be proactive, possess strong communication skills, and be able to multitask in a fast-paced environment.
Responsibilities
• Provide administrative support to HR and office staff.
• Assist in maintaining and updating employee records and databases.
• Schedule meetings, interviews, and appointments.
• Organize and maintain office files, records, and documents.
• Respond to phone calls, emails, and inquiries in a timely manner.
• Assist in the preparation of HR-related reports and documentation.
• Perform general office duties such as photocopying, scanning, and filing.
• Support event coordination and office activities as required.
• Take minutes during meetings and distribute them to relevant stakeholders.
• Handle confidential information with professionalism and discretion.
• Other duties as assigned to support the office’s smooth functioning.
Requirements
• A degree or diploma in HR, Business Administration, or a related field.
• Strong organizational skills and attention to detail.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to multitask and prioritize tasks efficiently.
• A proactive and adaptable attitude, with a willingness to learn.
• Interest in pursuing a career as a Personal Assistant (PA) in the future is a plus.
