Q-Sourcing Limited Uganda is looking for a competentskilled, and experienced Human Resource Executive to work in Kampala

 

Reporting: Human Resource Business Partner

Primary Responsibility:

The HR Executive is responsible for supporting the daily HR operations within the organization, specifically supporting employee performance, recruitment, onboarding, payroll processing, and maintaining HR records. The HR Executive will work closely with the HR Business Partner (HRBP) to ensure smooth HR operations, legal compliance, and assist in the implementation of HR policies and procedures.

Roles and responsibilities

–       Recruitment: Coordinate the end-to-end recruitment process including job adverts, shortlisting, interview scheduling and reference checks.

–       Onboarding: Support in Facilitating onboarding and induction activities.

–       Contract Management: Track employee contracts, including renewals and expirations, and ensure timely processing.

–       Performance Management: Assist the HRBP in administering the performance management cycle, through inputting of KPIs in zoho people, track completion of reviews, support managers in implementing performance Improvement Plans, follow up with line managers to ensure performance conversations are being done with their staff, assist in trainings for performance management.

–       Learning and Development: Coordinate training and employee development programs.

–       HR Administration: Assist in maintaining HR documents, such as contracts and other employment records. Manage employee lifecycle documentation including confirmations, transfers, promotions, contract renewals, exit and any other transition documentation. Prepare HR letters and employee correspondences. Tracking HR service providers contracts and ensure timely renewal.

–       Policy Implementation and Compliance: Support the implementation and communication of HR policies, procedures and guidelines. Participate in HR audits and compliance reviews, monitor policy adherence and recommend corrective actions where necessary. Support Environmental, Health and Safety workplace initiatives.

–       Offboarding: Coordinate employee separation processes including resignations, retirement, end of contracts, redundancy, restructuring, dismissals, and death in service cases. Ensure timely preparation and issuance of separations documents including acceptance of resignation letters, certificate of service. Coordinate clearance processes with relevant departments to ensure recovery of company assets and closure of employee accounts. Conduct and document exit interviews to identify trends, risks and opportunities for improving employee retention and engagement. Coordinate handover processes to ensure business continuity and knowledge transfer.

–       HR Process Automation: Implement automation initiatives for increased efficiency and effectiveness.

–       Employee Queries: Capture employee queries while ensuring confidentiality and professionalism.

–       Compliance & Policy Updates: Stay updated on the latest trends and changes in HR practices and employment laws to ensure legal compliance. Assist in reviewing and updating company policies.

 

 

Requirements

Mandatory Qualifications:

Mandatory Requirements:

  • A bachelor’s degree in human resource management, Business Administration, or any other related field.

Experience:

  • Minimum of 3 years of experience in human resources or administrative roles in a fast-paced environment for example banks, multinationals, HR consultancy firms.

Skills and Competencies:

  • Knowledge of Labour Laws: Knowledge of Labor and Employment Law
  • Excellent Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
  • Stakeholder Engagement
  • Proficiency in Microsoft Office: Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Investigation and documentation skills
  • Experience with HRIS: Hands-on experience with Human Resource Management Information Systems and HR digital platforms.
  • Knowledge of Labour Laws: Basic understanding of employment and labor laws, particularly in Uganda and East Africa.
  • People Management: Strong interpersonal and people management skills with the ability to work collaboratively across all levels of the organization.
  • Communication Skills: Excellent written and verbal communication skills, including the ability to present information clearly and concisely.
  • Problem Solving: Strong analytical and problem-solving skills, especially related to HR functions and employee management.
  • Customer Service: Demonstrates a strong customer service mindset and a commitment to delivering a positive employee experience.
  • Attention to detail: For accurate and quality records.
  • Adoption: Adopts quickly to changing business needs and remains resilient under pressure.
  • Data Driven: Uses data and insights to support decision making and drive HR effectiveness.
  • Business Acumen: Business mindset.
