About the Role:

Tama Blue (Tama Tama) is seeking a friendly, organized, and professional Receptionist to join our growing team. This individual will serve as the first point of contact for our clients, partners, and visitors playing a crucial role in shaping the first impression of our brand. The ideal candidate will be a proactive, detail-oriented team player with a passion for providing excellent customer service.

You will play a key role in supporting both internal teams and external stakeholders by managing front desk duties, handling phone calls and correspondence, and providing administrative assistance to various departments as needed.

 

Key Responsibilities:

Front Desk Operations

Greet and welcome visitors in a professional and courteous manner.
Direct clients, guests, and suppliers to the appropriate staff or department.
Answer, screen, and forward incoming phone calls.
Maintain the reception area to ensure it is tidy, welcoming, and organized at all times.

 

Administrative Support

Handle incoming and outgoing mail, deliveries, and courier services.
Assist with basic clerical tasks such as photocopying, scanning, filing, and data entry.
Maintain and update office directories and contact lists.
Schedule appointments, manage meeting room bookings, and support logistics for meetings or office events.

 

Communication & Coordination

Serve as a communication link between the front office and other departments.
Relay messages promptly and accurately.
Ensure timely distribution of incoming correspondence and packages.

 

General Office Duties

Maintain inventory of front office supplies and place orders as necessary.
Support with record-keeping and document organization.
Uphold company standards for safety, confidentiality, and professionalism.

 

Qualifications and Skills:

Minimum of a diploma in Business Administration, Office Management, Secretarial Studies, or a related field.
Proven experience in a front desk or administrative role is an added advantage.
Proficient in Microsoft Office (Word, Excel, Outlook).
Strong interpersonal and communication skills, both written and verbal.
Excellent time management and organizational abilities.
Professional appearance and a positive attitude.
Ability to handle multiple tasks with ease and maintain confidentiality.
A customer-first mindset and a genuine interest in providing helpful and efficient service.
