Background

The Center for Rapid Evidence Synthesis (ACRES) is a Non-Governmental Research Organization registered under the NGO Bureau of Uganda (Registration No: INDR163725640NB). ACRES is located on Wampewo Close (off Wampewo Avenue, Kololo) in Kampala, Uganda. The organization operates as an institutional knowledge broker, working at the intersection of science, data, Research, and policy to support policy and decision-making.

About the Position

The Center for Rapid Evidence Synthesis seeks a self-motivated individual to join the team as an Administrator.

The successful candidate shall coordinate administrative functions, oversee the efficient day-to-day operations of the office, support organizational planning, maintain accurate records, and ensure compliance with organizational policies and procedures. The candidate will work closely with the team to provide essential administrative support that enhances operational efficiency and contributes to the achievement of the organization’s strategic goals.

ACRES seeks to recruit an Administrator to carry out the following roles;

Duties and Responsibilities include but are not limited to;

1. Coordinate and facilitate all administrative activities of the Center for Rapid Evidence Synthesis (ACRES). Such work will include, but not be limited to:

a. Ensure program implementation in line with the Center’s strategic plan and agreements with partners.

b. Coordinate program administration and liaise with partner institutions.

c. Coordinate the maintenance of the activities of the human resource function at the Center, including recruiting, onboarding, orientation, performance management, and well-being

d. Ensure timely and accurate technical and financial reporting internally and to funders.

e. Draft and execute appropriate and accurate contracts with partners.

f. Maintain regular communication within the team and with partners, particularly regarding events or changes affecting program implementation.

g. Provide support to finance, procurement, and records functions under the guidance of the Finance & Grants Manager.

h. Submit periodic reports to the Head of Operations on the Center’s status and activities.

2. Participate in all current and ongoing activities at the Center for Rapid Evidence Synthesis (ACRES). Such work will include, but not be limited to;

a. Research and disseminate information on funding opportunities and grant reporting requirements.

b. Work with technical staff to identify new funding opportunities, interpret requests for proposals, and align with funding guidelines.

c. Coordinate the development, writing, and implementation of grant proposals.

d. Facilitate the grant approval process and ensure post-award compliance, including reporting and

document management.

e. Monitor grant compliance and follow up with funding agencies and partners as necessary.

f. Collaborate with the Finance team to prepare budgets, staffing plans, timelines, and templates for grant submissions.

g. Provide technical assistance to staff on grant writing, compliance, and reporting.

h. Attend and contribute to all team meetings and activities, and support the preparation of Center reports.

i. Maintaining asset registers, conducting physical verification, and managing asset insurance.

3. Performing any other duties as may be assigned from time to time by the Head of Office and the Finance & Grants Manager.

Minimum requirements

• Bachelor’s degree in Business Administration, Public Administration, Management, or a related field.

A master’s degree is an added advantage.

• Five (5) years of experience in administration, office management, or a similar role.

• Proficiency in computer applications such as Microsoft Office (Word, Excel, PowerPoint, Outlook).

• Knowledge of office procedures, record management, and administrative policies.

• Professional certifications in administration or management are an added advantage.
