The Quality Assurance Assistant supports the implementation, monitoring and continuous improvement of the university’s quality assurance system. The role ensures compliance with NCHE requirements and institutional policies by coordinating quality assurance activities, collecting and analysing quality assurance data, maintaining quality assurance documentation, and supporting the implementation of quality improvement initiatives across academic and administrative units.
Key Duties
- Support the Director/Manager of Quality Assurance in implementing the university QA framework and improvement initiatives.
- Monitor compliance with academic policies, NCHE requirements, and internal quality standards.
- Prepares and submits periodic QA reports (monthly, quarterly, annual) including data analysis on compliance metrics.
- Serve as first point of contact for QA external and internal enquiries, coordinate communications with Deans, HoDs, Academic Registrar, Examinations Office, and other academic units.
- Handle sensitive information with discretion and ensure compliance with institutional data protection and records retention policies.
- Collect, organize, and analyse QA data from faculties, departments, and administrative units.
- Monitor implementation of quality improvement recommendations and follow up with faculties and departments on agreed corrective actions.
- Maintain QA Office’s filing system (electronic and hard copy) records, QA manuals, reports, templates, policies, SOPs, minutes, and version-controlled documentation.
- Assist in preparing QA awareness communications and sensitization materials, and support other quality enhancement initiatives.
- Support moderation of assessment processes, monitoring of examination procedures, and documentation of academic integrity cases where required.
- Coordinate student feedback mechanisms, including course evaluations, class coordinator meetings/reports, and support graduate tracer activities according to the University guidelines.
- Provide technical support to faculties and departments on quality standards, reporting, compliance matters, and continuous improvement practices.
- Track deadlines, action items, and follow-up responsibilities across QA-related tasks.
- Perform and attend to any other duties assigned by the Director/Manager of QA and compliance responsibilities.
Reporting Line
The Quality Assurance Assistant reports to the Director/Manager of Quality Assurance and works closely with deans, heads of department, academic registry, examinations office, and other university units.
Requirements
Minimum Qualifications
- Bachelor’s degree in Education, Project Management, Quantitative Economics, Data Science, Business Administration, or Social Sciences from a recognized institution.
- A postgraduate qualification or professional training in quality assurance, internal quality auditing ISO 9001, higher education management and planning, monitoring and evaluation, project management, or records management is an advantage.
- At least two (2) years’ experience in higher education administration, quality assurance, academic registry, examinations, monitoring and evaluation, or institutional compliance. Experience in a university setting is required.
- Good knowledge of university governance, NCHE expectations, and quality assurance processes.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google Sheets and experience using institutional information management systems is an added advantage.
- Excellent report writing, data analysis, communication, records management, and documentation skills.
- Ability to handle confidential information with a high degree of professionalism and integrity.
