Job Description and Purpose
To develop clear, compliant and high-quality bid responses under tight deadlines. To work across multiple tenders simultaneously, translating technical and operational input into structured, client-focused proposals. Take ownership of proposal drafting, operate with speed and accuracy and contribute directly to improving submission quality and win rates. You will report to the Bid Quality & Process Lead.
Key Roles and Responsibilities
Proposal Development & Writing
• Take ownership of drafting structured and compliant proposal responses
• Translate technical input into clear, concise, and client-focused written content
• Ensure all responses directly address stated tender requirements and evaluation criteria
• Maintain consistency in tone, structure, and messaging across all submissions
Compliance & Responsiveness
• Analyse tender documents to extract key requirements and submission criteria
• Ensure all content is fully compliant with tender instructions and formats
• Support the preparation of submission-ready documents that meet all administrative and technical requirements
• Participate in bid reviews and lessons learned sessions.
• Keep proposals up to date, version controlled and available and for all contributors.
Bid Execution Support
• Work across multiple concurrent bids, managing competing deadlines and priorities.
• Follow up with internal teams and external partners to obtain complete and usable inputs.
• Flag risks, gaps, or missing information early.
Quality & Continuous Improvement
• Participate in internal bid reviews and quality checks (QCR).
• Contribute to improving templates, response structures, and content libraries.
• Apply lessons learned from previous submissions to improve future outputs.
Education and Qualifications
Essential
• Bachelor’s degree in a relevant field (Business Administration, Communications, procurement or a related field).
• 2-4 years of experience in proposal writing, bids, procurement, or related work.
• Familiarity with public sector tendering processes in Uganda (and/or East Africa).
• Demonstrated ability to produce structured written content under tight deadlines.
Highly Advantageous
• Experience working on multi-partner or complex bids.
• Familiarity with AI tools or productivity tools for writing and content development.
• Strong editing and document formatting skills.
